Statements
Each owner's month as a statement: their stays, what the channels paid, your fee by their deal, expenses with receipts, corrections, the balance, and a PDF sent by email.
The month
Open Owners, then "Statements". The ledger has one row per owner: "Stays", "Paid by channels", "Fees", "Expenses", "Balance" ("owes you", "you owe" or "even") and the status: "n being checked", "Ready", "Sent" or "Paid". The arrows move a month.
A month still under way can be watched, never sent. Admins change and send; managers read.
Set the fee deal
- 1Open an owner's statement and press "Set the fee deal" (later "Fee deal"). It reads as a sentence: "first pays n% of base plus amount a month, from date". The base is what the channel paid for the stay before taxes, with or without the cleaning fee.
- 2Pick whether "A stay counts in the month it checks in" or checks out. This can change only before the owner's first statement is sent.
- 3Under "On Booking.com", say per unit whether Booking.com pays the owner or you, and the commission it keeps until it sends the figure.
- 4A sent statement keeps the deal it was made with; a change applies from the day you pick.
What is counted
Only money checked against the channel's own record. For Airbnb, Airbnb's own payout figure. For Booking.com, what the guest paid less the commission, estimated at the unit's rate (15% unless you set one) until Booking.com's invoice. For a stay paid on your website, what the guest paid after any refund, less Stripe's card fee, which a refund doesn't return.
A booking made by hand counts at what was typed, marked as entered in Hostomat and not checked against a channel; one cancelled or with no amount is left off with a note. A stay paid on an owner's own site counts as paid to the owner.
An owner whose homes are paid in two currencies gets a statement in each currency a month, each with its own stays, expenses and corrections, sent and paid on its own.
Expenses and corrections
- 1Press "Expense": what it was for, the unit (or "All their units"), the date, what it cost, a markup if any, and the receipt (a photo or a PDF, up to 20 MB).
- 2Press "Correction" for what the statement can't work out itself: "To first" or "From first", the amount and what it corrects.
- 3A stay that changes after its month was sent is corrected by the difference on the month after the owner's last sent statement, under "Corrections from earlier months".
Send it
- 1Once the month is over and every stay is checked, press "Send to first" on a statement, or "Send n ready statements" on the ledger.
- 2Each owner gets theirs by email as a PDF and sees it when they sign in. "Download PDF" works on a draft too; a sent one downloads as it was sent.
- 3After sending: "Email it again", and "Mark paid" on the day it was paid, which is final.
The owner's own view
An owner opens Statements in their own login and reads every month you sent, as it was sent, with "Download PDF", even after they stop working with you.
What Hostomat does by itself
- A sent statement never changes: anything that moves later goes on the next month as a correction.
- A statement with money still being checked waits, with the reason on it, and is ready the moment the check passes.
If it didn’t work
- A statement says "n being checked".
- Open it: "It can't be sent yet." names each stay and why. For "No fee agreement covers unit on date.", set the fee deal from that day or earlier.
- The email didn't go.
- The ledger shows "Not emailed". Open the statement and press "Email it again". An owner with no email reads it in their login only.
- I can't change the month rule.
- It changes only until the owner's first statement is sent; after that, their statements already count stays that way.
- There is no Send button.
- The month isn't over ("Month isn't over yet."), or you are a manager: admins send. It can't be pressed while a stay is being checked.
