Airbnb cancellation policy: what you keep when a guest cancels
What Flexible, Moderate, Limited and Firm pay when a guest cancels, what extended cancellation changes, and three settings to check before the holidays.
The Hostomat team
Open one listing in Airbnb, go to Your space, then Cancellation policy. Read two things: the base policy, and whatever sits under Additional policy options. Most hosts set both once. The holiday bookings arriving this month will pay out under whatever is there today.
What each policy actually pays
Airbnb lists the standard policies for stays of 27 nights or fewer (Help article 475, read 5 October 2026):
- Flexible. Full refund until 24 hours before check-in, and you are not paid. After that, you are paid for nights stayed plus one more.
- Moderate. Full refund until 5 days before check-in. After that, you are paid one additional night plus 50% of the unspent nights.
- Limited. Full refund until 14 days before check-in. Between 7 and 14 days out, you are paid 50% of all nights. Inside 7 days, 100%. Limited is available for bookings made from 1 October 2025.
- Firm. Full refund until 30 days before check-in. Between 7 and 30 days out, 50%. Inside 7 days, 100%.
Every standard policy also has a 24-hour window: a full refund within 24 hours of confirming, if the booking was made at least 7 days before check-in. Strict and Super strict are by invitation only. The cleaning fee is refunded in the free cancellation period and treated as part of the nightly price after it (Airbnb Resource Center, Choosing cancellation policies, dated 27 January 2026).
The same booking under four policies
An invented example: three nights from Wednesday 23 December at $240, so $720 of nights.
The guest cancels on 13 December, ten days out:
- Flexible: $0.
- Moderate: $0, still more than 5 days out.
- Limited: $360, half the nights.
- Firm: $360.
The guest cancels on 20 December, three days out:
- Flexible: $0, still more than 24 hours out.
- Moderate: one night, plus half of the unspent nights.
- Limited: $720.
- Firm: $720.
These are shares of the nights you priced; the payout line on the reservation shows what lands. The gaps that matter: from 14 to 30 days out, Firm pays and Limited does not. From 5 to 14 days out, Limited pays and Moderate does not.
The add-on that is on by default
Some listings also offer guests an extended cancellation option. The guest pays Airbnb an extra fee to cancel for a full refund until 24 hours before check-in. You are still paid under your own policy, the dates reopen immediately, and your cancellation rate and Superhost status are unaffected (Help article 4061, read 5 October 2026).
Most listings on Moderate, Limited, Firm or Strict are eligible automatically, so you opt out: Listings, the listing, Your space, Cancellation policy, Additional policy options, deselect Airbnb extended cancellation (Help article 4063, same day). It is live in the US, Canada, Australia, Ireland and fifteen other countries, not the UK as of that date.
On paper it rarely costs you money. A Firm listing canceled two days out still pays 100%, and the nights are open again. What it costs is certainty: a reservation can disappear 25 hours before arrival, with a cleaner booked and a Saturday to sell at short notice. If the Major Disruptive Events Policy applies, you are not paid either way.
Reserve Now, Pay Later sits on the flexible side
Airbnb's Reserve Now, Pay Later (Newsroom, 23 February 2026) lets a guest book with nothing paid, on listings with a Flexible or Moderate policy. The full amount is due shortly before the free cancellation period ends. If the charge fails, Airbnb's Payments Terms give the guest 72 hours to pay another way, then the booking is canceled.
So on those two policies, some confirmed bookings have no money behind them until near the deadline. Airbnb says listings with free cancellation longer than 48 hours after booking are highlighted in search. Flexibility gets you seen. Firmness gets you paid when plans change.
Three settings to check this week
- The base policy, listing by listing. A cabin that sells out at Christmas and a one-bed that struggles on Tuesdays need different rules. Airbnb suggests starting from the most flexible policy you can carry.
- Additional policy options. Decide on extended cancellation on purpose: keep it if a late reopen is easy to fill, opt out if certainty matters more.
- The non-refundable option. Airbnb describes it as typically 10% off your base price in return for no refund, still subject to the 24-hour window. If you use a floor, that discount comes off the price a guest sees.
What Hostomat does when a cancellation reopens nights
Hostomat never touches your cancellation policy. It only writes nightly prices; availability, bookings and guests are never touched.
When canceled nights reopen, the next daily run prices them like any other open night: against the listings actually competing with you, with the last-minute rule of the style you chose, and never below your floor. Balanced waits until a week out before cutting an unsold night, and never by more than 12%. Aggressive never discounts. The reason sits next to every price, in words. More on that in last-minute Airbnb pricing.
It works with Airbnb only, connected directly or through Hospitable. No Vrbo, no Booking.com yet. It is a young product.

By hand, if you would rather
For each holiday booking, write three dates in your calendar: the last day for a full refund, the day it moves to 50%, and the day it moves to 100%. When nights reopen inside a week, price them in minutes against three similar listings still open that night, not what the original guest paid.
Where this can go wrong
A stricter policy can cost visibility, since Airbnb highlights longer free cancellation in search. Firm on a listing that already struggles can be the wrong call. Two Airbnb policies can also override yours: Major Disruptive Events, and Refund and Rebooking. Local rules differ too, California and Germany among them. Read your own reservation's terms before trusting any example, this one included.
Check the three settings before December bookings land. For a second look at the listing itself, the free listing audit needs no card. Pricing on Hostomat is 14 days free with no card. Start at hostomat.io/guide.
